Description of Requirement Public Safety Canada requires a Contractor to provide a suitable venue, hospitality services and complete audio-visual services for a three-day conference for up to 500 participants. The event will include plenary sessions, concurrent breakout sessions, VIP activities, partner showcases, networking, side meetings and an evening reception on Day 1. The Contractor must complete required setup, configuration and testing before the event and provide onsite support throughout delivery and teardown. Event Dates and Basis of Selection The preferred event dates are three consecutive weekdays during the week of February 22, 2027. Bidders may also propose other three-consecutive-weekday options in February 2027, excluding February 15, 2027, Family Day. Public Safety Canada will select the event dates that best meet its operational requirements from among the date options proposed by responsive bidders. Once the event dates have been selected, the responsive bid with the lowest evaluated aggregate price for meeting space and hospitality services for the selected dates will be recommended for contract award. If two or more responsive bids have the same lowest evaluated aggregate price, the bid with the lowest evaluated meeting space cost will be recommended for contract award.
